NHS Foundation Trust Intranet Update

The Brief
Our NHS Trust client’s old intranet was cluttered with content and documents that were out of date with a design that did not meet their current design standards.
HRS provided expertise covering content generation and project management; supporting our client to update, develop and migrate 209 patient care pages from the original intranet to the new intranet within a tight time frame.
Our Approach
We kicked off the project with an introductory call with the NHS Trust to set the stage for smooth delivery. Here, we aligned on status, agreed ways of working, built on past learnings and mapped the rollout.
Excellent project management was key to bringing the project together and maintaining momentum. HRS achieved this by driving progress through a clear timeline and effective stakeholder coordination. We held frequent check-ins with the client to keep everyone aligned and avoid surprises.
Our writers began by shaping and standardising the content, working closely with content owners to maintain momentum. As the content progressed, we coordinated with the web developers to prepare for efficient uploading to the new intranet site.
Throughout the process, our team sought feedback from the Trust to ensure a flexible and efficient approach.
The Results
We finalised and uploaded the content, enabling the Trust to launch its new intranet on time. For HRS, the real success was delivering it with minimal disruption to the Trust.
Feedback on the process is valuable, but feedback on the finished product is essential and in this case it speaks for itself. Two months after launch:

Average monthly visits increased 5-fold

Search usage increased, while average time to find content dropped 9x to under 1 second.

The majority of staff reported now using the intranet site – an increase from fewer than 15%.

We surpassed the target for reducing obsolete pages and fixing broken links.
In summary, the new intranet fulfils its aim as a key internal communication channel for NHS Trust staff. It also serves as an essential tool for finding day-to-day information and it surpassed our client’s expectations.
